📋 General Questions
What is KrankyBear BackTrack?
BackTrack is a modern, affordable practice management software designed specifically for healthcare professionals including chiropractors, veterinarians, physical therapists, and other healthcare providers. It's a complete solution for managing patients/clients, appointments, clinical notes, billing, and more.
What makes BackTrack different from other practice management software?
- Your data belongs to you - Even if your license expires, you maintain full read-only access to all your data. We never hold your records hostage.
- Local storage - Your data lives on YOUR computers, not in the cloud (unless you enable optional sync).
- Fair pricing - No per-user fees, no surprise charges, unlimited staff accounts.
- Military-grade encryption - AES-256 encryption with MFA support built-in.
- No internet required - Works completely offline.
Is BackTrack suitable for my type of practice?
BackTrack currently supports:
- Chiropractic - ROM tracking, pain assessment, adjustment notes, treatment plans
- Veterinary - Pet management, vaccinations, weight tracking, certificates (Rabies, Health, etc.)
- Physical Therapy - Exercise protocols, mobility tracking, progress monitoring
- Cosmetology/Spa - Service tracking, client management, treatment history
Modules for Dentistry and General Medicine are in development.
💰 Pricing & Licensing
Is there really a free trial with no time limit?
Yes! BackTrack's trial mode is completely free with NO time limit. You can use all features indefinitely with up to 10 patients/clients. This is perfect for evaluation, very small practices, or solo practitioners.
What happens if I outgrow the 10-patient trial limit?
Simply purchase a license (perpetual, annual, or monthly) to unlock unlimited patients and continue using all features. Your existing data stays intact - no migration needed.
How does licensing work?
BackTrack uses file-based licensing:
- You'll receive a
backtrack.license file via email
- Place it in the same directory as the BackTrack application
- The software validates your license on startup
- One license covers unlimited computers and users within your practice
- Future versions will include automatic license updates via "call home" features
Can I switch between plans?
Yes! You can upgrade from monthly to annual, or convert to a perpetual license at any time. If you've paid for subscription time within the first year, we'll credit that toward a perpetual license purchase.
Do you offer refunds?
A trial license is your best way to test BackTrack before committing to a paid plan. We cannot give refunds for perpetual licenses, and there is no cost to (or refund for) a trial license. Monthly and annual subscriptions may be cancelled at any time, but we do not provide prorated refunds for unused time.
Are there any hidden fees or per-user charges?
No. One license covers your entire practice with unlimited staff accounts. No per-user fees, no transaction fees, no surprise charges.
🔒 Data & Security
Where is my data stored?
Your data is stored locally on your computers in encrypted SQLite databases. We do not store your data on our servers unless you explicitly enable cloud sync features (future release).
What happens to my data if my license expires?
You keep full access! BackTrack provides complete read-only access to all your data, including:
- View all patient/client records
- Access all clinical/service notes
- Print reports and certificates
- Export and backup your data
You simply cannot create NEW records until you renew.
We believe your data should never be held hostage.
How secure is my data?
BackTrack uses multiple layers of security:
- AES-256-GCM encryption for all databases
- Argon2id key derivation for password protection
- Multi-Factor Authentication (MFA) support via TOTP
- User activity logging and audit trails
- Role-based access control (RBAC)
- Encrypted backups
Your data is as secure as your operating system and physical security measures.
Is BackTrack HIPAA compliant?
BackTrack provides the technical safeguards required for HIPAA compliance (encryption, access controls, audit logs). However, HIPAA compliance also requires organizational policies, staff training, and proper use of the software. You are responsible for implementing appropriate administrative and physical safeguards in your practice.
Can I back up my data?
Yes! BackTrack includes built-in encrypted backup functionality. You can:
- Create manual backups at any time
- Schedule automatic backups
- Store backups on external drives or network locations
- Restore from backup if needed
We strongly recommend regular backups as part of your disaster recovery plan.
💻 Installation & Setup
What operating systems are supported?
BackTrack runs on:
- macOS - Apple Silicon (M1/M2/M3) and Intel Macs
- Windows - Windows 10 and 11
- Linux - Ubuntu, Debian, Fedora, and other modern distributions (AMD64 and ARM64)
Installers (.pkg, .exe, .deb, .rpm) and standalone binaries are available for all platforms.
Can I run BackTrack on multiple computers?
Yes! One license covers unlimited computers within your practice. You can install BackTrack on front desk computers, exam rooms, or take it home on your laptop. Optional sync features (coming soon) will keep data synchronized across all installations.
Will my team need training?
We believe our product is intuitive enough and documentation comprehensive enough that your team will not need formal training or setup consulting. However, we would be happy to discuss any needs at fair (or no) cost depending on time required. We want you to be successful and independent.
Do I need an internet connection?
No! BackTrack works completely offline. You only need internet for:
- Downloading the software and updates
- Optional cloud sync (future feature)
- Optional online patient portal (future feature)
Your practice can operate normally even during internet outages.
How do I migrate data from my current software?
We can assist with data migration on a case-by-case basis. Contact us at
